Roompick Rules

1. All undergraduate Avery Members who have waived their rights to participate in any other House's internal picks (see Waiver, below) are eligible to participate in the Lottery. An Avery Member is defined, for the purpose of this Lottery, as (1) anyone who has lived in Avery at any time since September 27, 2004, according to Housing OR has Excomm approve a petition for membership signed by 10 Avery members before Friday, April 3, 2009, AND (2) who has not renounced their membership.
2. If you choose to participate in the Avery Internal Lottery, you must submit your internal lottery form by April 6 at 11:00 pm. No late forms will be accepted.
3. Random Number Generation happens on April 7 at 5:30pm. At Random Number Generation, you will be given a random number between 0 and 1. Picks proceed in order from highest to lowest random number.
4. A round consists of going through the list in order (high to low) and asking each person whether they would like to pick or "pass." If a person passes, the next person on the list is then asked to pick or pass. When a person picks a room, that person and his/her roommates are removed from the list and a new round begins.
5. If, at any time, the number of officers who are guaranteed housing in Avery (as defined in the Constitution) who have not yet picked is equal to the number of bedspaces left, normal room picking ends and the officers pick out of the remaining rooms in order of their pick numbers.
6. You may designate a proxy to pick for you. At the time he/she picks or passes, the proxy must present a written and signed note from you giving him/her permission to proxy for you.
7. Any persons that do not show up within 10 minutes of their turn to pick a room will be put into a suspension pool. When someone from the suspension pool arrives, they will pick after the current person picking. If two people in the pool come during the same person's picking turn, then whoever has the higher pick goes first.
8. When it is your turn to pick or pass, if the number of people in the list who have not picked or been pulled into a room is less than the number of bedspaces left and you are picking into a double or a triple, you may pull in someone who is not in the Avery Internal Lottery.
9. When it is your turn to pick or pass, if the number of people in the list is greater than or equal to the number of bedspaces left and you are picking into a double or a triple, you must pull in a roommate who is in the Avery Internal Lottery.
10. If, during any round, everyone passes, then during the next round the picker may pull in someone who is not in the Avery Internal Lottery.
11. There will be no restarts.
12. After picks are over, you are locked into your roommate until one month into the new academic year, and you may only swap rooms. Thus, occupants of doubles may only swap with occupants of other doubles, singles with singles, and triples with triples. Only after 1 month into the academic year may you swap roommates. All persons who are swapping must notify the Secretary (Jessie Ku, jessieku AT caltech.edu) in writing or through e-mail.

Avery's Internal Picks are exclusive. This means that you cannot participate in the internal picks of both Avery House and another House. However, if you choose to enter the internal picks of another house, you are still eligible to pick into Avery through the unaffiliated lottery.

[Avery Internal Lottery Form] -- In order to participate in the Avery internal lottery, you must fill out the internal lottery form, which will be slipped under your door this week. Please turn these in by Monday, April 6 at 11:00pm in the box outside R252. Sooner would be appreciated. Please remind your friends if they don't check their e-mail. If your form is late, then we'll add you to the bottom of the list, and you can't be picked as a roommate. If you have any questions or need a copy of the form, contact Jessie Ku (jessieku AT its) or Cindy You (cyou AT its).

[Random Number Generation] -- Random number generation is when people gather in Avery Library and watch an Excel screen on the wall as rankings are determined for this year's internal picks. At least one RA will be present. Everyone is welcome to come and watch in the Avery Library. The random numbers will be posted to the house list soon after generation is complete. Please note that this is the random number generation ONLY, and not the actual roompicks.

[Avery Internal Roompicks] -- You have a little less than 2 weeks after random number generation to deliberate about roommates and room placement. Roompick instructions will be on the lottery form. There is a lot of good stuff there; read it if it interests you (e.g. proxies, procedure, etc.).

Lastly,
Any student who wants to become a member of Avery may do so by presenting a petition to ExComm signed by ten members of Avery by 11:59pm Friday, April 3.
